Amzai Privacy Policy
Effective Date: 29 May 2026 Last Updated: 29 May 2026
This Privacy Policy explains how the Amzai entities collect, use, share, and protect personal information when you visit the website located at amzai.ai (the "Website"), enquire about or engage our services, or otherwise interact with us. It also describes your privacy rights and how to exercise them.
Please read this Policy together with our Terms of Service, available at https://amzai.ai/terms.
1. Who We Are
The Amzai brand is operated by two affiliated entities. The entity responsible for your personal information (the "data controller," "we," "us," or "our") depends on your location:
- If you are located in the United Kingdom or the European Union, the controller is Amzai Limited, a company incorporated in the United Kingdom.
- If you are located anywhere else in the world, the controller is Amzai US LLC, a limited liability company formed in the State of Delaware, United States.
You can contact us about this Policy or your personal information at any time at legal@amzai.ai.
2. Scope of This Policy
This Policy applies to personal information we handle as a controller, meaning information about Website visitors, prospective clients, client contacts, event participants we engage directly, suppliers, and other individuals who interact with us.
Where we provide events marketing and demand generation services to a client, we often process personal information on that client's behalf and under their instructions. In those cases, the client is the controller and we act as a processor, and the client's own privacy notice governs that processing. This Policy does not apply to information we process solely as a processor for a client. Section 12 explains this distinction further.
3. Information We Collect
We collect the following categories of personal information.
Information you provide to us:
- Identity and contact details, such as name, job title, employer, business email address, business phone number, and postal address.
- Engagement and account information, such as the services you enquire about, the content of your communications with us, and the details needed to set up and manage your engagement.
- Billing and payment information needed to process Fees. Card payments are handled by our third-party payment processor; we do not store full payment card numbers on our own systems and instead receive limited details such as a payment confirmation, the last four digits, and the card brand.
- Information you submit through forms, downloads, event registrations, surveys, and similar interactions.
Information we collect automatically:
- Technical and usage data, such as IP address, device and browser type, operating system, referring pages, pages viewed, and dates and times of access.
- Cookies and similar technologies, as described in Section 7.
Information we receive from third parties:
- Business contact and firmographic information from publicly available sources, professional networks, and reputable business data providers, used to identify and qualify prospective clients and audiences.
- Information from our service providers, such as analytics, marketing, and payment providers.
We do not seek to collect special categories of personal data (such as health, race, or political opinions) through the Website, and we ask that you do not submit such information to us unless we specifically request it.
4. How We Use Personal Information
We use personal information to:
- respond to enquiries, provide information you request, and communicate with you;
- provide, manage, and improve our services and your engagement;
- process payments, invoicing, and collections;
- operate, secure, and improve the Website;
- send marketing communications about our services where permitted (see Section 8);
- conduct business development, including identifying and contacting prospective clients and audiences;
- carry out analytics to understand how our Website and services are used;
- maintain records, and comply with legal, accounting, tax, and regulatory obligations;
- establish, exercise, or defend legal claims, and protect our rights, property, and safety and those of others.
We may use software, automation, and artificial intelligence tools to support these activities, including to organize information, draft content, and prioritize outreach. We do not make decisions producing legal or similarly significant effects about you based solely on automated processing without human involvement. Where any such automated decision-making is introduced, we will provide the disclosures and rights required by applicable law.
5. Legal Bases for Processing (UK and EU)
If you are in the United Kingdom or the European Union, we rely on the following legal bases under the UK GDPR and the EU GDPR:
- Performance of a contract: to provide services you have engaged, manage your account, and process payments.
- Legitimate interests: to operate and promote our business, conduct business development and direct marketing to business contacts, secure and improve the Website and services, and carry out analytics. We balance these interests against your rights and only rely on this basis where it is appropriate to do so.
- Consent: where required, for example for certain cookies and certain electronic marketing. You may withdraw consent at any time.
- Legal obligation: to comply with applicable laws, including accounting, tax, and regulatory requirements.
Where we rely on legitimate interests, you have the right to object as described in Section 10.
6. How We Share Personal Information
We share personal information only as needed and as described below. We do not sell personal information.
- Service providers and processors: including hosting and infrastructure providers (our Website is hosted on a third-party platform), our payment processor, analytics and marketing platform providers, communications providers, and professional advisers. These providers act on our instructions and under contractual confidentiality and data protection obligations.
- Affiliates: between Amzai Limited and Amzai US LLC, where necessary to operate the Amzai brand and provide services.
- Clients: where you are a participant or contact connected to a client engagement, we may share relevant information with that client as part of delivering the services.
- Legal and protective disclosures: where required by law, regulation, legal process, or governmental request, or to establish, exercise, or defend legal claims, or to protect the rights, property, or safety of Amzai, our clients, or others.
- Business transfers: in connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate safeguards.
7. Cookies and Similar Technologies
We use cookies and similar technologies to operate the Website, remember your preferences, measure performance, and understand how the Website is used. Some cookies are strictly necessary for the Website to function. Others, such as analytics and marketing cookies, are used only with your consent where required by law.
You can manage cookies through any consent tool we make available on the Website and through your browser settings. Disabling certain cookies may affect how the Website functions. For more detail on the specific cookies in use, please refer to the cookie information provided on the Website.
8. Marketing Communications
We may send you marketing communications about our services where we are permitted to do so, including to business contacts on the basis of our legitimate interests or with your consent where required. You can opt out of marketing at any time by using the unsubscribe link in our emails or by contacting us at legal@amzai.ai. Opting out of marketing does not affect communications necessary to manage your engagement, such as billing and service messages.
9. International Data Transfers
We operate across the United Kingdom, the European Union, and the United States, and our service providers may be located in other countries. As a result, your personal information may be transferred to, stored in, or accessed from countries whose data protection laws differ from those in your country.
Where we transfer personal information out of the United Kingdom or the European Economic Area to a country that is not subject to an adequacy decision, we put in place appropriate safeguards, such as the UK International Data Transfer Agreement or Addendum and the European Commission's Standard Contractual Clauses, together with additional measures where needed. You may contact us at legal@amzai.ai for more information about these safeguards.
10. Your Privacy Rights
10.1 Rights in the UK and EU
If you are in the United Kingdom or the European Union, you have the following rights under applicable data protection law, subject to conditions and exceptions:
- the right to access the personal information we hold about you;
- the right to rectification of inaccurate or incomplete information;
- the right to erasure of your information in certain circumstances;
- the right to restrict or object to certain processing, including direct marketing and processing based on legitimate interests;
- the right to data portability;
- the right to withdraw consent where processing is based on consent.
You also have the right to lodge a complaint with a supervisory authority. In the United Kingdom, this is the Information Commissioner's Office (ICO). In the European Union, this is the supervisory authority in your country of residence, work, or the place of the alleged infringement.
10.2 Rights in the United States
Depending on the US state in which you reside, you may have rights regarding your personal information, which may include the right to know or access the personal information we have collected, the right to correct inaccurate information, the right to request deletion, the right to opt out of certain processing, and the right not to be discriminated against for exercising your rights. We do not sell personal information and do not share personal information for cross-context behavioral advertising in the manner defined by certain US state laws.
10.3 How to Exercise Your Rights
To exercise any of these rights, contact us at legal@amzai.ai. We will respond within the timeframes required by applicable law. We may need to verify your identity before acting on your request. You may use an authorized agent to submit a request where permitted by law, and we may ask for proof of that authorization.
11. Data Retention
We keep personal information only for as long as necessary for the purposes described in this Policy, including to provide services, manage our relationship with you, and meet legal, accounting, tax, and regulatory requirements. The retention period depends on the nature of the information and the purpose for which it is held. When information is no longer needed, we securely delete or anonymize it.
12. Information We Process for Clients
When we deliver events marketing and demand generation services, we frequently process personal information on behalf of our clients and under their instructions, such as contact data used to invite and manage audiences for a client's program. In those situations, the client is the controller and Amzai acts as a processor. Our handling of that information is governed by our agreement with the client, including a data processing agreement where required by law, rather than by this Policy. If you have questions about how a specific organization uses your information in connection with one of our programs, please contact that organization directly. You may also contact us at legal@amzai.ai and we will direct your request appropriately.
13. Data Security
We maintain technical and organizational measures designed to protect personal information against unauthorized access, loss, misuse, and alteration. While we take reasonable steps to safeguard information, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. We require our service providers to maintain appropriate safeguards as well.
14. Children's Privacy
The Website and our services are intended for business and professional use and are not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us at legal@amzai.ai and we will take appropriate steps to delete it.
15. Third-Party Links
The Website may contain links to third-party websites and services that we do not operate or control. This Policy does not apply to those third parties, and we are not responsible for their privacy practices. We encourage you to review the privacy notices of any third-party sites you visit.
16. Changes to This Policy
We may update this Policy from time to time. When we do, we will revise the "Last Updated" date above and, where the changes are material, take reasonable steps to notify you. Your continued use of the Website after an updated Policy takes effect constitutes acceptance of the changes.
